AI Essentials.

One day for every employee. Participants use AI on their own work from the first hour, and leave with five prompts that work, one workflow they will use next week, and the team's rules.

Duration
7 hours, one day or split into sessions
Group size
Up to 10 per group
For
Sales, operations and admin teams
Background
Open to all, no technical skills
Tools
Copilot, ChatGPT, Claude or Gemini, in the client's tenant
Method
Demo, hands-on, show-and-tell
Colleagues gathered around a laptop
By five o'clock, every participant uses one workflow on their own work.

The day ends with a show-and-tell. The best workflows go into the team library.

Three rules, agreed in the first hour.

It drafts, you decide. The output is a draft. The person who sends it owns it.
Check before sending.Facts, figures, names and tone, every time.
Confidential data stays out.Prices, customer data and anything else the company rules out of a prompt.

The day, module by module.

The structure and the rules stay the same for every client. The examples come from the team's own emails, documents and tools.

  1. 1
    9:00 to 10:30

    Understand and start

Use the tool once on real work, and know the three rules.

    What it covers

    • How the tool works, and where it can be wrong
    • Where it sits in the daily tools: email, documents, shared drives, chat, spreadsheets
    • The rules: it drafts, you decide; check before sending

    Practice, on their own cases

Summarise a long customer thread and draft the reply.

    They leave with

One task done by everyone; the rules agreed.

  2. 2
    10:45 to 12:15

    Ask well and write faster

Get a usable answer fast, and write routine emails in minutes.

    What it covers

    • The prompt pattern: context, task, format, check
    • Replies to long emails with several questions
    • Standard answers; tone, length and language set in one line
    • Confidentiality: prices, customer data, what to blank out

    Practice, on their own cases

Three real replies drafted, checked and sent.

    They leave with

Five prompts that work on their own emails.

  3. 3
    13:30 to 15:30

    Find, research and prepare

Fetch documents and answers from sources instead of searching.

    What it covers

    • Find the right document in the shared drive by reference
    • Resend the latest version of a document from email
    • Recurring questions answered from the team's own documents
    • Research with sources; meeting preparation from the last emails

    Practice, on their own cases

One document request, one technical question, one meeting to prepare.

    They leave with

A document request answered in under a minute.

  4. 4
    15:45 to 17:15

    Make it yours

Leave with a workflow they will use next week.

    What it covers

    • Turning a repeated task into a reusable prompt or routine
    • Each person builds one workflow and tests it on three cases
    • A team prompt library, and the team rules written in half a page
    • What stays in email, and what moves to the ERP or CRM

    Practice, on their own cases

Build, test and present; the best workflows go into the library.

    They leave with

One workflow per person, a shared library, the team rules.

Around the sessions.

  1. Before

One interview per team. Real emails and documents collected for the exercises.

  2. After

A weekly usage report to management for four weeks.

  3. Adaptation

Examples change with the client. Structure and rules stay the same.

Safe use at this level.

  • Confidential, personal and client data: what stays out of prompts
  • Approved tools versus consumer accounts
  • Checking before sharing: errors, invented facts and sources
